Privacy Policy

Last updated October 11, 2026

This policy explains what personal information ProductPylot collects when you use our website and web app (the “Services”), how we use it, who we share it with, and the choices you have.

1. Who we are

ProductPylot is a job search workspace for product managers: a resume builder, an ATS resume checker, resume tailoring, cover letters, a job board with job alerts, and a job tracker. The Services are operated by ProductPylot, based in Delaware, USA (“ProductPylot”, “we”, “us”). If you have a question about this policy, email us at support@productpylot.com.

2. Information we collect

We collect information you give us, information created when you use the Services, and a little from others.

  • Account details: your email address and name. You sign in with a one-time code we email you, or with Google. If you use Google, we receive your name, email address and profile photo from Google. We don’t use passwords, so we never store one.
  • Profile and preferences: what you tell us during onboarding and in your settings, such as the roles you’re targeting, your level, location, job type, work setup, and job alert preferences.
  • Content you create: resumes, cover letters (including a photo or signature if you add one), tailored resumes, jobs you save to your tracker, notes, reminders, and the job descriptions you paste or save.
  • Files you upload: resume PDFs you import or run through the ATS checker, and profile photos. We store uploaded resume PDFs so you can come back to your results.
  • LinkedIn import: if you paste a LinkedIn profile URL, we fetch that public profile through a data provider to fill in your resume.
  • Payment details: ProductPylot is free right now. If you buy a paid plan in the future, your payment is handled by our payment provider, Dodo Payments. We never see or store your full card number; we keep your plan, billing status, and the provider’s customer and subscription IDs.
  • Usage data: the pages you visit and the features you use. Inside the app, we also record session replays (recordings of clicks, scrolls, and page changes) to find bugs and improve the design.
  • Device and log data: IP address, browser and device type, operating system, referring page, and timestamps. We use your IP address to estimate your country.
  • Messages: what you send us by email or through our contact form.

3. How we use your information

  • To run the Services: build and store your resumes and cover letters, check and tailor resumes, show and match jobs, send job alerts, and keep your tracker.
  • To sign you in, keep your account secure, and prevent fraud and abuse.
  • To send the emails described in section 7.
  • To answer your questions and support requests.
  • To understand how the Services are used, fix problems, and improve features and design.
  • To show content that fits where you are, for example jobs in your country.
  • To meet legal obligations and enforce our Terms of Service.

4. AI features

When you use an AI feature (for example, writing or improving resume content, checking a resume, tailoring it to a job, or generating a cover letter), we send the content that feature needs, such as your resume text and the job description, to AI model providers to produce the result. We don’t use AI to make decisions about you that have legal or similarly significant effects.

AI output can be wrong. Review everything before you use it; see our Terms of Service.

5. Cookies and analytics

We use cookies and browser storage for two purposes:

  • Essential: keeping you signed in, security, remembering your country, and saving a resume you start before you create an account.
  • Analytics: PostHog (product analytics and in-app session replay), Google Analytics (through Google Tag Manager), and Vercel Analytics, to measure visits and how features are used.

You can block or delete cookies in your browser settings. If you block essential cookies, you won’t be able to sign in.

6. How we share your information

We do not sell your personal information. We share it only in these cases:

  • Service providers that run parts of the Services for us, under contracts that limit how they use your data:
    • Supabase: database and file storage
    • Vercel: hosting and website analytics
    • Resend: email delivery and our mailing list
    • PostHog: product analytics, session replay, and feature settings
    • Google: sign-in with Google and Google Analytics
    • Upstash: caching, background tasks, and job matching
    • AI model providers: generating AI results (see section 4)
    • TheirStack: job listings, including job searches built from your alert preferences
    • Bright Data: fetching a public LinkedIn profile when you use LinkedIn import
    • Dodo Payments: payments, once paid plans are available
  • People you choose: if you create a share link for a resume, anyone with the link (or only the people you invite, if you restrict it) can view it, and invited collaborators can see comments.
  • Legal and safety: when the law requires it, or to protect the rights, property, or safety of ProductPylot, our users, or others.
  • Business transfers: if ProductPylot is involved in a merger, acquisition, or sale of assets, your information may transfer as part of it, still protected by this policy.
  • With your permission: in any other case, only if you agree.

7. Emails we send

  • Sign-in codes and messages about your account. These are required to use the Services.
  • Job alerts, if you turn them on.
  • Product news and tips. When you sign up, we add your name and email address to our mailing list with Resend.

To stop job alerts or product emails, email us at support@productpylot.com and we’ll take you off the list.

8. Keeping and deleting your data

We keep your information while your account is open. You can delete resumes, cover letters, ATS checks, and tracked jobs in the app, and you can delete your account from your profile settings. Deleting your account removes your account and profile. If you also want every resume, uploaded file, and other record erased, email us at support@productpylot.com and we’ll confirm when it’s done. Copies can stay in backups for a limited time, and we keep some records when the law requires it, for example billing records.

A resume you start without an account is kept so you can come back to it, and moves to your account if you sign up.

9. Security

We encrypt data in transit and limit who can access personal data. No system is perfectly secure, so we can’t guarantee absolute security. If you think your account has been accessed without your permission, email us right away.

10. Your rights and choices

Depending on where you live, including under U.S. state privacy laws, you can ask us to:

  • Tell you what personal information we hold about you and give you a copy.
  • Correct information that is wrong or incomplete.
  • Delete your personal information, subject to legal exceptions.
  • Give you your information in a portable, machine-readable format.
  • Stop processing it for marketing.

Email support@productpylot.com to make a request. We may need to confirm your identity first. We won’t treat you differently for using these rights.

11. Where your data is processed

ProductPylot is based in the United States. Our service providers may store and process your information in the United States and other countries. Where the law requires it, we use safeguards such as standard contractual clauses.

12. Children

The Services are not meant for anyone under 16, and we don’t knowingly collect information from them. If you believe a child has given us personal information, email us and we’ll delete it.

13. Changes to this policy

We’ll update this policy when our practices change. We’ll change the date at the top of this page, and for significant changes we’ll also tell you by email or in the app.

14. Contact us

Email support@productpylot.com or use our contact page. We reply within 24 hours on business days.
